SECRETARIAL JOB DESCRIPTION

 

Job Title:  Office Secretary

 

General Description:  Office work in a church administration office.

 

Hours:  This position is part-time – 20 hours per week, from 9:00am to 1:00pm, Monday through Friday.  There may be an occasions when additional time is required. 

Annual term:  Nine (9) months per year.

 

Reporting Mechanism: This position reports to the Pastors for day-to-day supervision.  Overall, the position is responsible to and evaluated by the Personnel Committee.  There will be a 90 day probationary period followed by an evaluation.  Thereafter, evaluations are on an annual, or on a as needed basis.

 

Minimum Position Requirements:  High school diploma.  Proficient in the use of a PC, including word processing, functions, MS Word, Excel and Publisher and Email.  Good organizational skills and Professional demeanor.  Previous experience as a secretary is desired but not required.

 

Duties:

-          Answer and direct telephone calls.

-          Sort and distribute mail.

-          Order office supplies as needed.

-          Utilize e-mail or phone tree to communicate with church members.

-          Create and prepare bulletins for Sunday worship and special services as needed, i.e., Lent, Advent, funerals and weddings.

-          Maintain church directory

-          Maintain church records.

-          Schedule weddings and Baptisms.

-          Prepare agendas and meeting minutes for distribution as requested.

-          Coordinate the annual report.

-          Distribute contribution envelopes annually.

-          Prepare new member packets.

-          Coordinate building usage requests.

-          Other duties as assigned by Pastors.
